Lead Real Estate Analyst

Under general direction, assist Asset Managers and Property Management, overseeing and coordinating all tenant relations, lease maintenance and various asset management functions for a growing portfolio of properties, as well as providing executive and clerical support on an as needed basis.  Maintain consistency for the Real Estate Analyst Team by keeping processes up to date. Shadow Asset Manager(s) to gain an understanding of basic deal flow, lease negotiation, construction management and financial reporting. The responsibilities include a variety of administrative tasks relating to the management, leasing, and operation of the company’s commercial properties. 



  • Maintain superior Owner and Tenant relations 
  • Route leases for signature(s)
  • Set up, abstract, change and terminate leases in Yardi
  • Prepare Common Area Maintenance reconciliations and escalations (CAM’s) for AM review
  • Prepare and maintain amortization schedules for all capital improvements that are passed through to the tenants in CAMs
  • Scrub the general ledgers to ensure there are 12 months of accurate expenses properly classified and reclass items as necessary (through CAM process, not outside of CAMs)
  • Prepare budgets in Yardi and populate income, expense, and debt in annual property operating budgets for property and asset management to review
  • Stay current on Yardi modules and processes to help create best practices
  • Shadow Asset Managers on deals, deal flow and lease negotiations when time permits
  • Draft Economic Summaries
  • Prepare Commission Invoices
  • Shadow Asset Managers on Construction Management, when time permits
  • Enter Cash Distributions and/or CAP Calls for AMs into Yardi (Lead Analyst through 2017; all Analysts in 2018)
  • Periodic on site visits with AM or PM
  • Peer review Analyst’s work to maintain consistency across portfolio
  • Review & Enter Property Taxes into Yardi, Submit Property Tax information to Accounting for payment and handle Assessor’s Inquiries
  • Create and maintain processes for the Real Estate Department and position manual for the Real Estate Analyst.
  • Train incoming Real Estate Analysts
  • Prepare Commencement Agreements and straightforward Amendments for review (Phase II – Late 2017/Early 2018)
  • Compose Tenant and Owner correspondence
  • Assist Asset Managers with preparation of special projects and presentations
  • Assist Asset Managers with financial analysis
  • Monitor Tenant Insurance for compliance with lease terms
  • Monitor Tenant Aging
  • Review Business Licenses and submit payment requests to Accounting
  • Setup Job Number Requests in Yardi
  • Run credit checks and/or Dunn & Bradstreet reports on incoming tenants, as requested
  • Work well with other department personnel toward common service delivery goals, owner and tenant satisfaction
  • Must be able to answer inquires received via any method (mail, fax, phone, email) regarding account and/or property issues. It is essential to be present and available for support during regular business hours·
  • Prepare and maintain a variety of written materials such as reports, documents and correspondence
  • Perform other related duties as assigned
  • Represent the company to outside agencies and organizations

The Real Estate Analyst shall have strong communication skills, be capable of handling multiple projects, and interact with a diverse group of tenants and investors. Self-management and multi-tasking capabilities are a must. Qualifications shall include:


  • Minimum of three (3) to five (5) years’ experience assisting with real estate/asset or property management with additional clerical support responsibilities
  • Bachelor’s degree or an equivalent combination of education, training and additional experience is preferred
  • Must look and act in a professional manner
  • High energy individual with ability to work without direct supervision; Self initiator with the ability to problem solve and multi-task effectively
  • Must be organized and task oriented, able to work in a fast-paced, team- oriented environment with multiple deadlines, and adapt readily to changing priorities while maintaining an approachable, friendly demeanor
  • Must be able to develop and maintain effective working relationships with managers, vendors, contractors, and tenants
  • Ability to draft and write correspondence, detailed notes, communications to tenants, vendors, and contracted firms to prepare reports and presentations, and provide information in a clear and concise manner
  • Ability to motivate others to complete projects on time and coordinate all efforts effectively
