Real Estate Analyst

Buzz Oates is one of the largest commercial real estate owners/developers in California with over 23 million square feet under management. Over the last 60 years, the company has constructed over 60 million square feet of industrial warehouse and distribution facilities, business parks, and retail centers. Buzz Oates leases approximately 3 million square feet and executes on $100 million in purchases and sales annually. Our investment philosophy centers on providing a single point of contact for construction, real estate and asset management services. The company is positioned for growth, with targeted new developments throughout the Western half of the United States.

SUMMARY:

Under general direction, assist Asset Managers and Property Management, overseeing and coordinating tenant relations, lease maintenance and various asset management functions for a growing portfolio of properties, as well as providing executive and clerical support on an as needed basis. The responsibilities include a variety of administrative tasks relating to the management, leasing, and operation of the company’s commercial properties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Maintain superior Owner and Tenant relations
Route leases for signature(s)
Set up, abstract, change and terminate leases in Yardi
Prepare Common Area Maintenance reconciliations and escalations (CAM’s) for AM review
Prepare and maintain amortization schedules for all capital improvements that are passed through to the tenants in CAMs
Scrub the general ledgers to ensure there are 12 months of accurate expenses properly classified and reclass items as necessary (through CAM process, not outside of CAMs)
Prepare budgets in Yardi and populate income, expense, and debt in annual property operating budgets for property and asset management to review
Compose Tenant and Owner correspondence
Assist Asset Managers with preparation of special projects and presentations
Assist Asset Managers with financial analysis
Monitor Tenant Insurance for compliance with lease terms
Monitor Tenant Aging
Review Business Licenses and submit payment requests to Accounting
On site visits with AM or PM, when time permits
Enter Cash Distributions and/or CAP Calls for AMs into Yardi (Beginning in Mid/Late 2018)
Setup Job Number Requests in Yardi
Run credit checks and/or Dunn & Bradstreet reports on incoming tenants, as requested
Work well with other department personnel toward common service delivery goals, owner and tenant satisfaction
Must be able to answer inquires received via any method (mail, fax, phone, email) regarding account and/or property issues. It is essential to be present and available for support during regular business hours
· Prepare and maintain a variety of written materials such as reports, documents and correspondence· Perform other related duties as assigned· Represent the company to outside agencies and organizations

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. The Real Estate Analyst shall have strong communication skills, be capable of handling multiple projects, and interact with a diverse group of tenants and investors. Self-management and multi-tasking capabilities are a must. Qualifications shall include:

Minimum of three (3) to five (5) years’ experience assisting with real estate/asset or property management with additional clerical support responsibilities
Bachelor’s degree or an equivalent combination of education, training and additional experience is preferred
Must look and act in a professional manner
High energy individual with ability to work without direct supervision; Self initiator with the ability to problem solve and multi-task effectively
Must be organized and task oriented, able to work in a fast-paced, team- oriented environment with multiple deadlines, and adapt readily to changing priorities while maintaining an approachable, friendly demeanor
Must be able to develop and maintain effective working relationships with managers, vendors, contractors, and tenants
Ability to draft and write correspondence, detailed notes, communications to tenants, vendors, and contracted firms to prepare reports and presentations, and provide information in a clear and concise manner
Ability to motivate others to complete projects on time and coordinate all efforts effectively
