Real Estate Transaction Coordinator

Buzz Oates is one of the largest real estate owner/developers in California with over 23 million square feet under management. Buzz Oates leases approximately 3 million square feet and executes on $100 million in purchases and sales annually. Our investment philosophy centers on providing a single point of contact for construction, real estate and asset management services. The company is positioned for growth, with targeted new developments throughout the Western half of the United States.

The company is seeking a Transaction Coordinator that will be the key interface on real property transactions for the existing portfolio as well as new development opportunities.


Primary responsibility for coordinating all property acquisitions and sales transactions.
Act as single point of contact with escrow officers, reviewing closing packages, process internal communication, approvals and signatures.
Work with transaction team members on letters of intent, purchase and sale agreements, amendments, etc.
Track and manage all transaction deadlines.
Review preliminary reports, title insurance policies and exceptions for accuracy and issues. Prepare title objection notices and responses.
Collaborate with team members on compiling and disseminating due diligence materials.
Significant role in managing property documentation/filing systems for the existing portfolio of properties and working with team members for the access of property information.

Strong computer, organizational, analytical and communication skills required.
Highly proficient in Microsoft suite.
Comprehensive knowledge of sales transactions and escrow processes and documentation.
Excellent organizational, communication, writing and analytical skills.
5+ years of relevant real estate experience.
High energy individual with ability to work without direct supervision.
Problem solve and multi-task efficiently.
Bachelor’s Degree required with course work in real estate, law and/or accounting preferred or equivalent. Paralegal Certificate or escrow/title experience helpful.
Notary certificate helpful.
Attendance is required.
Motivate others to complete projects on time and coordinate all efforts effectively.
